You will be helping a small team deliver vital support to those with asbestos related diseases including admin and bookkeeping, answering our helpline, checking and responding to emails, and helping us track new and existing cases

Job Title: Administrative & Bookkeeping Assistant

Salary: £20,444 pro rata (NJC Scale 4.7)

The charity endeavours to track NJC pay scales but cannot guarantee to do so

Pension: Employee contributions 4%, Employer’s contribution 6%

Hours: 18½ per week

Holiday: 29 days plus statutory holidays pro rata per year

Location: Your work will be based in The Warehouse, 54-57 Allison Street, Birmingham, B5 5TH with the option for hybrid working from your home address, to be agreed with your line manager

Responsible to: The manager of ASCE

Like all our salaried posts, this is a permanent role but it is always subject to funding being available.

This post is subject to a six month probationary period.

Job Description

Aim

To support the ASCE team and trustees in the delivery of the organisation’s charitable objects by assisting in the planning and delivery of its services. In particular to undertake back office administrative tasks including bookkeeping and mailings, and to share in the task of answering our helpline and responding to emails, referring callers and correspondents to the appropriate members of the team and helping the team to keep track of existing cases and new referrals.

Core Tasks

To assist our team of paid staff and volunteers in filing and keeping track of existing cases and new referrals
To take responsibility for organising mail-outs of adverts and newsletters and keeping the mailing lists up-to-date
To book meeting venues, having researched available options and made enquiries regarding the cost and facilities
To book presentations for support group meetings in consultation with the manager
To help design newsletters and adverts in a range of printed and digital formats and to deliver them by mail and on our website, Facebook page and Twitter account in collaboration with the manager
To acknowledge, bank and record donations to the charity
To assist in ordering stationery for the team as required
To assist with administrative tasks in connection with ASCE’s support group for the bereaved
To capture and file feedback from beneficiaries and keep records of their comments and suggestions
To undertake basic bookkeeping – such as entering transactions – on our online accounting system
To support other members of the team in maintaining social media accounts, handling incoming telephone calls and mail and filing documents
To help the team to promote ASCE’s services in the wider community and to support the charity’s fundraising initiatives and record Gift Aid donations
To assist the manager with tasks connected to the recruitment and support of trustees, staff and volunteers
Any other duties as directed from time to time by the manager
